Job Description

A public agency is seeking a highly organized Executive Assistant to support executive leadership and provide administrative, scheduling, meeting, and records-related support. This role requires strong attention to detail, excellent communication skills, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate is proactive, professional, and able to anticipate needs with minimal direction.


Key Responsibilities

Executive & Administrative Support

  • Provide high-level administrative support including preparing correspondence, memos, reports, presentations, forms, and meeting minutes.
  • Manage executive calendars, schedule meetings, coordinate logistics, and arrange travel when needed.
  • Serve as a liaison between leadership, internal departments, external partners, and stakeholders.

Board & Meeting Support

  • Attend designated board or committee meetings and serve as Recording Secretary.
  • Draft, assemble, distribute, and post agendas in compliance with procedural requirements.
  • Take, transcribe, and finalize accurate meeting minutes.
  • Support meeting and event setup as needed.

Records & Compliance

  • Monitor and respond to Public Records Act (PRA) requests; appropriately redact documents and ensure timely responses.
  • Maintain specialized databases, files, logs, and documentation to support departmental operations.
  • Perform additional administrative duties as assigned.
